FUDCon is the Fedora Users and Developer's Conference, an opportunity for all who contribute to or use Fedora to meet, learn, plan, and hack. This event is free and is open to everyone. To learn about what a FUDCon is like, you can view a video from the North American FUDCon 2009. Please read https://fedoraproject.org/wiki/FUDCon_organization_process and understand it thoroughly if you are a event organizing volunteer. If you are responsible for finding a good place, refer to the requirements listed in https://fedoraproject.org/wiki/FUDCon/Organization

Why Pune?

Red Hat has a large office in Pune with many members from Engineering, L10N, I18N and support services who are Fedora community members and active in various roles. Would help the budget quite a bit since we don't have to fly about 40 Red Hat members from various teams who have proposed talks and hackfests to another city and also on logistics to have FUDCon be hosted in Pune. We have run a FAD in May 2010 and sponsored Fedora community volunteers in India to participate so they are already familiar with the place.

http://wikitravel.org/en/Pune#Get_in

Pune has a airport however international travellers, especially from US and Europe might consider flying in to Mumbai and getting a flight from Mumbai to Pune which takes about an hour or getting a taxi via the express highway to Pune. Takes about 3 to 4 hours. Getting a taxi is naturally cheaper. Direct flights from US and Europe may not be available. Check with your local travel agency to confirm the economical travel plan.

Con:

Bangalore is a more well known IT hub and is more accessible for international contributors flying in. To come to Pune, some of them will have to fly to Mumbai and travel to Pune by taxi which takes about 3 to 4 hours in addition to the flight time. Pune has a airport and catching a flight from Mumbai to Pune is possible if one wishes to save time. It is more expensive than catching a taxi so there is a trade off.

Rough budget estimates:

  • Cost for travel from US: 1350
  • Cost for travel from Europe: 750
  • Cost for travel from Malaysia: 267

Detailed budget estimates: Current total estimate: USD 15707

Proposed sponsorship criteria

  • FUDCon team will sponsor local travel, food and accommodation for everyone who is a speaker or hackfest participant
  • Red Hat speakers travelling internationally, talk to your manager for covering the flight expenses. FUDCon team can cover other expenses if needed.
  • Community volunteers (international participants), we have limited budget for covering flight cost. FUDCon team will be choosy about this. FUDCon team will cover other expenses.
  • Community volunteers (within India). FUDCon team will cover flight costs for you if you are a speaker or hackfest participant

Distance from Venue to hotel: We have dozens of hotels in the vicinity between 3 to 7 miles. We have a choice of several hotels (including Restaurants) which have internet access. Indian, Chinese, Italian and other cuisines are available. Fast food joints like McDonalds and KFC and places for coffee like Coffee day and Barista are available nearby.

Some hotel info:

Why COEP?

Map of venue

http://maps.google.com/maps/place?q=coep+pune&hl=en&cid=2150857724025808625

  • Has a history of hosting and supporting Free and open source activities within the college and hosting conferences like DebConf
  • Enthusiastic professors and college administration support
  • COEP won't charge anything to host us and provides wireless access as well for free
  • Has a budding Free software users group within the college run by the student body
  • Spacious auditorium that can host 1000 people and smaller rooms that can host between 150 to 50 people
  • Guest house can host six people (we intend to host the organizing team volunteers here)
  • Bandwidth and wireless access provided by college
  • Since COEP will cancel regular classes, we will have large number of students participating
  • Potential to be the biggest FUDCon in the world in terms of number of talks and people attending!

Local mass transit: Public transportation system is weak but we will arrange vans and taxis.

Experience of the team: All of the members of the organizing team are long standing Fedora community members and have participated and organized Fedora talks in several FOSS events, FAD's and Fedora release events. Rahul Sundaram (event owner) has a attended and participated in FUDCon Delhi in 2006 and FUDCon Boston on a couple of occasions and is a member of the Fedora community for the last seven years after joining the project, a couple of months after it was originally announced.

FUDCon Planning meetings

June 4th 2011: http://lists.fedoraproject.org/pipermail/fudcon-planning/2011-June/002399.html

Budget Details

FUDCon APAC has been provided a tentative budget of 15000 US Dollars as per

http://lists.fedoraproject.org/pipermail/fudcon-planning/2011-May/002350.html

Rahul Sundaram will talk to teams within Red Hat and others on complimenting the budget but for the bidding process, our planning must be limited within this amount. Note that if a Red Hat person comes from some other country, his or her manager will generally fund that travel and that's what we will encourage. Max Spevack has additional discretionary budget in special cases. Community volunteers need funds to be taken out of the FUDCon allotted budget typically.

We are also tracking this at https://fedorahosted.org/fedora-india/ticket/48. This ticket is private to event organizers.
